Privacy Policy

KvL Software is the controller for the personal data described in this policy.

• Account details such as name, email address, telephone number and company name.
• Licence, plan, subscription, activation and device identifiers needed to provide and protect your products.
• Limited usage totals, such as quotes sent or monitored, where a product reports them for plan limits and account administration.
• Support messages, billing references and records of your legal acceptance.
• Security and technical records needed to prevent misuse and diagnose faults.

Payment card details are handled by Stripe and are not stored in the KvL Software database.

Unless a product or feature clearly says otherwise, operational information processed by local tools such as KvL CX Assistant and KvL Master Auditor stays in your browser or on your computer. Spreadsheets, quote histories, payout reports and other files created locally are not uploaded to the KvL Software website, servers or database.

We cannot view, retrieve or restore those local files. You are responsible for checking their contents, keeping suitable backups and sharing or deleting them securely. This approach also applies to future local tools unless their product information and privacy notice clearly explain a different arrangement before you enable or use it.

Online records required to operate the service remain separate. These may include account, licence, plan, activated-device, usage-total, billing-reference, security and support information.

• Contract: to create accounts, supply licences, activate devices, apply plan limits and provide support.
• Legitimate interests: to secure the service, prevent licence abuse, improve reliability and administer the business.
• Legal obligation: to keep required tax, accounting and compliance records.
• Consent: where the law requires permission for optional communications or non-essential storage.

We use carefully selected providers including Supabase for authentication and database services, Stripe for payments and subscription management, Vercel for website hosting, and the Chrome Web Store for extension distribution.

Where the CX Assistant distance feature is enabled, only the normalised postcode or coordinates required for routing are sent to postcodes.io and OSRM. Licence keys, company names and quote values are not sent to those routing services.

We do not sell, rent or trade personal data. We share information only with providers needed to operate and secure the service, when you instruct us to do so, or where the law requires it.

We use proportionate technical and organisational measures and review them as technology and risks change. No online service can guarantee absolute security. If a personal-data incident occurs, we will investigate it, take reasonable steps to limit harm and make any notifications required by law.

Some service providers may process data outside the United Kingdom. Where this happens, we rely on appropriate contractual or legal safeguards required by UK data protection law.

Account, licence and subscription records are kept while the account or licence is active and afterwards only as long as needed for support, security, legal and accounting purposes. Support and technical logs are reviewed and removed when they are no longer required.

Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability or objection. You may also withdraw consent where processing relies on consent.

If you are not satisfied with our response, you can complain to the Information Commissioner's Office.

KvL Software products are independent third-party tools. Courier Exchange is operated by Transport Exchange Group Ltd. KvL Software is not affiliated with, endorsed by or approved by Courier Exchange or Transport Exchange Group.

Fleet Tracker processes online fleet, job and location information under its own Fleet Tracker Privacy Policy.
